Automated Invoice Processing with AI: Xero and MYOB Guide

Automated Invoice Processing with AI: Xero and MYOB Guide

Automated invoice processing means software reads each supplier invoice (PDF, email attachment or scan), extracts the supplier, ABN, line items and GST, matches it to the purchase order and goods receipt, and posts the approved bill to Xero, MYOB or your ERP. AI invoice processing handles messy layouts that templates cannot. Your accounts payable team only touches exceptions and approves payments.

Key takeaways

  • AI handles reading and matching; people handle exceptions and approvals.
  • Integration quality matters more than extraction accuracy. A tool that syncs badly with your ledger creates work.
  • Start with your top 20 suppliers, which often make up most of your volume, and expand.
  • Expect a frustrating second week. Auto-processing rates climb as the system learns your suppliers and coding.
  • Australian GST rules need configuration: mixed taxable and GST-free lines, input-taxed supplies and supplier GST registration checks.

What does manual invoice processing really cost?

Consider a hypothetical Sydney logistics company. One person keys supplier details from PDFs into MYOB, another checks purchase orders in a spreadsheet, and a third chases approvals by email.

Asked how long an invoice takes, most teams say "about five minutes". Timed properly, it is often 12 to 15 minutes once you include finding the PO, querying the supplier and chasing the approver. At 800 invoices a month, that is 160 to 200 hours of manual work, every month.

Ardent Partners' annual State of ePayables research has consistently found that best-in-class AP teams, which rely heavily on automation, process invoices at a fraction of the average team's cost per invoice. The gap comes from removing data entry, matching by hand and approval chasing.

Where Manual AP Cost Comes From
  • Keying supplier, lines and GSTMinutes per invoice
  • Finding and checking the PO and receiptMinutes per invoice
  • Chasing approvals by emailDays per invoice
  • Duplicate payments and coding errorsRecovery cost and audit risk

What does AI invoice processing actually do?

1. Capture and ingestion

Invoices arrive from everywhere: email attachments, scans, supplier portals, even photos of handwritten dockets from subcontractors. AI consolidates them into one queue regardless of format.

We built Carbonly.ai, our own ESG product, on a multi-agent document processing pipeline, and the lesson carries over: capture is where vendors oversell. Demos use clean PDFs. Real inboxes contain low-resolution scans, watermarks and approval stamps over the total.

2. Data extraction

Modern invoice data extraction combines OCR with large language models to pull out:

  • Supplier name and ABN
  • Invoice number and date
  • Line items with descriptions and quantities
  • Subtotals, GST and totals
  • Payment terms and due dates
  • Purchase order references

Traditional OCR needed a template per supplier. AI extraction understands context: "Total Inc GST", "Amount Payable" and "Balance Due" mean the same thing. Independent benchmarks, such as AIMultiple's invoice OCR comparisons, have found large language models outperform traditional OCR on lower-quality scans.

3. Validation and matching

  • Is the supplier ABN active on the Australian Business Register, and GST-registered?
  • Does the invoice match a purchase order?
  • Do quantities and prices align with the PO and goods receipt?
  • Is the invoice number a duplicate?
  • Does the GST add up?

Three-way matching (invoice to PO to goods receipt) catches errors people miss on their fiftieth invoice of the day.

4. Coding and routing

AI learns your chart of accounts. After seeing building supplies invoices from a hardware supplier coded to "6300 Building Supplies", it suggests that code automatically. Approval routing follows your delegations, for example invoices above a set amount go to the Finance Director.

5. Posting to your accounting system

The validated, coded invoice is posted to Xero, MYOB or your ERP as a draft bill, with the original attached for audit.

What can the savings from automated invoice processing look like?

The scenarios below are illustrative models, not client results. Test the arithmetic against your own volumes.

Scenario 1: a manufacturer processing 250 invoices a month

  • Before: 8 to 12 minutes per invoice, around 42 hours of AP time a month, and regular coding errors and duplicates.
  • Modelled after: 1.5 to 2 minutes per invoice to review and approve, around 9 hours a month, with duplicates caught before payment.

Scenario 2: an accounting practice running accounts payable for 15 clients

Each client has its own chart of accounts, approval workflow and accounting system.

  • Before: heavy EOFY overtime, late payment fees passed to clients, and regular complaints about errors.
  • Modelled after: EOFY overtime falls sharply, late fees become rare, and the same team can serve more clients without new hires.

Scenario 3: a logistics business processing 800 invoices a month

A mixed supplier base is the hardest case: large suppliers send clean PDFs while subcontractors send handwritten dockets.

  • Before: about 1.5 full-time staff on AP, an eight-day month-end close, and several duplicate payments found each year.
  • Modelled after: about half a full-time role on AP with one person redeployed to analysis, a faster close, and duplicates stopped at validation.

Which invoice processing solutions suit Australian organisations?

The right choice depends on your accounting system and complexity.

For Xero users

  • Ocerra: built for the Australian and New Zealand market, with line-level extraction and multi-entity support.
  • Dext (formerly Receipt Bank): strong mobile capture and deep Xero integration, suited to receipt-heavy workloads.
  • Lightyear: Australian-built, designed for purchase-order-driven organisations with strict matching.

For MYOB users

  • Ocerra: also integrates with MYOB platforms.
  • TRAILD: integrates with MYOB AccountRight, Exo and Acumatica, with fraud checks.
  • Dataline APA+: long-established in the Australian market with MYOB integrations.

For complex or multi-system environments

  • Tipalti: international suppliers, multi-currency and complex approval hierarchies.
  • Nanonets: high volumes and unusual document types.
  • A custom automated invoice processing system: where you run an ERP such as Business Central, NetSuite or SAP Business One with complex rules, or need processing on your own infrastructure. See our guide to Business Central invoice automation.
Choose Your Invoice Automation Approach

What's your situation?

  • Xero, mostly domestic suppliersOcerra, Dext or Lightyear
  • MYOB AccountRight, Advanced or ExoOcerra, TRAILD or Dataline
  • Multi-currency and global suppliersTipalti
  • ERP with complex rules, or data must stay in your environmentCustom AI processing integrated with your ERP

The integration quality rule

A tool with excellent extraction that syncs poorly with your accounting system creates more work than a slightly less accurate tool with solid integration. Look for:

  • Native API integration, not CSV import and export
  • Automatic matching to existing supplier contacts
  • Chart of accounts and tracking category sync
  • Two-way sync of payment status

How do you automate invoice processing, week by week?

Invoice Automation Implementation Roadmap
  1. Weeks -2 to -1Pre-WorkDocument the process, time a sample, clean supplier data
  2. Week 1Setup & ConfigTop 20 suppliers, rules and approvals configured
  3. Week 2Training PhaseCorrections teach the system; auto-processing climbs
  4. Week 3Turning PointException queue shrinks noticeably
  5. Week 4+Steady StateMost routine invoices flow with review only

Before you start (weeks -2 to -1)

  • Document the current process: every step, exception and workaround.
  • Measure: time per invoice (time it, do not estimate), error rate, monthly AP hours and invoices per supplier.
  • Clean supplier data: merge duplicates, verify ABNs, standardise names.

Week 1: setup

Do not go live with every invoice. Start with your top 20 suppliers by volume. Configure supplier matching, chart of accounts mapping, approval workflows and thresholds, and GST rules. Expect a large share to need review at first; every correction trains the system.

Week 2: the frustration phase

The system makes mistakes, corrections take time, and it is slower than the old way for now. Track the auto-processing rate daily and show the team the trend. If it is not rising, the configuration needs attention.

There is always one supplier whose invoices break everything. Ask them for a better format (surprisingly effective), route them to manual processing for now, or build specific extraction rules if volume justifies it.

Week 3: the turning point

Supplier matching works, GL coding is mostly right, the exception queue shrinks and the AP team starts trusting suggestions.

Week 4 and beyond: steady state

Most routine invoices need only review and approval, and error rates fall below your baseline. Accuracy keeps improving over the following months. The system runs alongside your team until it proves accurate, and a person approves before anything is posted or paid.

Which Australian compliance rules affect invoice automation?

GST handling

  • GST-inclusive totals: most Australian supplier invoices show GST-inclusive amounts. For fully taxable invoices, GST is one-eleventh of the total.
  • Mixed supplies: invoices can mix taxable and GST-free items (some food, medical supplies). The system needs line-level GST classification.
  • Input-taxed supplies: financial supplies and residential rent carry no GST credit. Flag them correctly.
  • Supplier GST registration: validate ABNs against the Australian Business Register. If a supplier is not registered for GST, you cannot claim input tax credits.

Automation often reveals suppliers whose GST registration has lapsed, which is far better found now than in an ATO review.

BAS reporting

AP automation feeds BAS preparation, especially 1B (GST on purchases). Entities with GST turnover under $10 million can use Simpler BAS, reporting G1, 1A and 1B. Accurate data all year removes the scramble at lodgement.

E-invoicing (Peppol)

Australia has adopted the Peppol framework for e-invoicing, and Commonwealth agencies can receive e-invoices. B2B e-invoicing is not mandatory, but adoption is growing. Peppol invoices arrive as structured data, so nothing needs reading; AI processing handles the invoices that still arrive as PDFs. See our Peppol e-invoicing guide.

Record keeping

The ATO generally requires business records to be kept for five years. Keep the original invoice image, not just extracted data, because an audit needs the document itself.

Why does EOFY show the value of automation?

With automated invoice processing in place before June, EOFY stops being late nights keying invoices, weekend data entry and last-minute supplier reconciliations.

EOFY checklist with automation:

  1. Run the duplicate payment report (it should show none)
  2. Export the GST transaction summary for BAS reconciliation
  3. Compare supplier statements against the ledger
  4. Clear the exception queue
  5. Confirm every bill has its source document attached

When should you not automate invoice processing?

Skip it if: you process very few invoices a month, your invoices are already standardised and quick, or you are about to change accounting systems (do that first).

Wait if: your current process is undocumented, supplier data is a mess, or you are in April to June (implement after EOFY).

Consider a custom build if: approval hierarchies are complex, documents are non-standard, or you need integration with industry systems. A multi-agent approach, like the one in Carbonly.ai, splits the problem into classification, extraction, validation and integration agents. Our process automation team builds this kind of system.

Questions

What is automated invoice processing?

It is the use of software to capture supplier invoices, extract the data, match it to purchase orders and receipts, route it for approval and post it to your accounting system. AI improves the extraction step on invoices that do not follow a fixed layout.

How accurate is AI invoice processing?

Accuracy depends on invoice quality and how clean your supplier data is. Set a confidence threshold so uncertain fields go to a person, and measure the exception rate on your own invoices during a pilot before relying on it.

Does AI invoice processing work with Xero and MYOB?

Yes. Most tools post draft bills to Xero and MYOB through their published APIs, and larger ERPs connect the same way. Approval and payment stay inside your accounting system.

How do you automate invoice processing step by step?

Document and time the current process, clean supplier data, choose a tool that integrates natively with your ledger, start with your top 20 suppliers, run it alongside your team for four weeks, then expand once exception rates fall.

Is e-invoicing the same as automated invoice processing?

No. E-invoicing (Peppol in Australia) sends invoices as structured data between systems, so nothing needs reading. Automated processing handles invoices that still arrive as PDFs or scans.
