Wholesale and distribution

AI for wholesale and distribution businesses

AI and automation for multi-site wholesalers and B2B distributors in Sydney, Brisbane, Melbourne and across Australia and New Zealand, built into the ERP your teams already use. Work starts with discovery on one quote or order queue, then a shadow pilot, then rollout.

Sound familiar?

  • Quotes wait on two people

Pricing knowledge sits with a few senior staff.

  • Purchase orders retyped

Emailed and PDF orders keyed in line by line.

  • Pricing checked by hand

Customer prices, rebates and discounts checked per quote.

  • Stock questions by email

Availability and lead times looked up one at a time.

  • Invoices and freight

Supplier and carrier charges matched by hand.

  • Reporting across sites

Warehouses and entities compared in spreadsheets.

What we build

  • AI quoting workflow

AI reads the enquiry, matches SKUs, applies ERP customer pricing and your margin rules, and drafts the quote in the ERP. Out-of-policy discounts go to a manager.

  • Purchase order capture

Emailed and PDF orders read, checked against customer, item and price data, and queued for approval into the ERP.

  • Supplier invoice and freight matching

Invoices matched to purchase orders and receipts, freight charges to consignments, with mismatches sent to a person.

  • Reporting

One view across warehouses and entities, refreshed from the ERP.

Your ERP stays the source of truth

Prices, stock and customer terms are read from your ERP, and approved work is written back to it. Nothing posts until a person approves it, and every step is logged.

  • No new platform for staff to learn
  • A person approves every customer-facing output
  • You own the code

How an engagement runs

  1. Discover

One process at one site, with a measured baseline of volume and turnaround.

  2. Prove

AI runs in shadow mode on live orders while your team works as today, and we compare.

  3. Build

Connected to your ERP, with approvals and logs.

  4. Run

We support it, or hand it to your IT team with the code and documentation.

Systems we work with

We connect to the platforms you already run. You keep your licences and your data.

Proof: records to quote lines

We built the defect quoting engine for a national fire protection provider. It categorises technician defect records and suggests quote lines for the quoting team to check.

Questions

Can AI create quotes directly in our ERP?

Yes. AI drafts the quote through your ERP's API, so it appears as a normal quote in SAP Business One, Business Central, NetSuite or Pronto Xi. A rep checks and sends it, and quotes outside your discount policy go to a manager first.

How does AI quoting handle customer-specific pricing and rebates?

AI does not set prices. It reads each customer's price list, contract prices and rebate terms from the ERP, applies your margin and discount rules, and flags any line that falls below the margin floor for a person to approve.

We raise 10 to 30 quotes a week in our ERP. Is that enough to automate?

Often, when each quote takes real effort to build, such as many lines, customer-specific pricing or stock checks across warehouses. At that volume the gain is mostly faster turnaround, consistent pricing and fewer quotes waiting on one senior person. If quotes are short and simple, a cleaner price book and ERP quote templates may be enough. Discovery measures the time per quote today before anything is built.

Which quote or order queue is slowest?

Name it and we will measure it with you before quoting the first phase.

Fixed-fee phases, agreed before we start. Stop after any phase.
