AI agents

AI agents for Australian organisations, built inside your systems

An AI agent is software that reads incoming work, decides within your rules and acts across your systems. A person approves the result.

What an AI agent does

  • Reads

Emails, PDFs, job records and forms in any layout.

  • Decides within rules

Checks against your ERP data, price book and policies.

  • Acts across systems

Drafts the quote, order or ticket where it belongs.

  • Asks for approval

A named person approves. Every step is logged.

Processes that suit an AI agent

  • Defect records to quote lines

Defects categorised and quote lines suggested.

  • Emailed purchase orders into the ERP

Orders checked against customer, item and price data.

  • Field jobs to finance

Completed jobs checked and sent for invoicing.

  • Supplier invoice matching

Invoices matched to orders, variances sent to finance.

  • Prequalification packs

Client questionnaires drafted from current policies and licences.

  • IT service desk triage

    Tickets categorised, prioritised and routed.

How we build an AI agent

  1. One process

One owner, one measured baseline. Fixed fee, then go or stop.

  2. Shadow mode

Runs beside your team until agreement meets your bar.

  3. Approval and logging

People approve before anything posts. Every decision is logged.

  4. Your infrastructure

Runs in your cloud in Australia. You own the code.

Built for a real quoting process

For a national fire protection provider, we built an engine that categorises defect records and suggests quote lines, inside the client's own cloud in Sydney. It is built and tested, and next runs in shadow mode beside the quoting team.

  • Read-only access through restricted views
  • Each result logged for review
  • Quoters keep the final say

When an AI agent is the wrong answer

  • The data is already structured

That is an integration job. Rules are cheaper to audit.

  • A connector exists

Turn on the vendor connector first.

  • Low volume

A monthly task rarely repays the build.

  • No owner

Without someone to handle exceptions, an agent stalls.

Questions

How is an AI agent different from a chatbot?

A chatbot answers questions in a chat window. An AI agent does a piece of work in the background: it reads an order, invoice or job record, checks it against your systems and prepares the next step, such as a draft quote or sales order, for a person to approve.

Should we build AI agents or use the agents in Copilot, Business Central or ServiceNow?

Use the vendor's agent when it covers your process and your data is clean, because the vendor supports and upgrades it. Build a custom agent when the work crosses several systems, needs your own rules or price checks, or runs in a system with no agent of its own. Test either option on real work before committing.

What access does an AI agent need to our systems?

Only what one process needs. That usually means read-only views of the relevant records, a restricted login, and write access limited to drafts that a person approves. Your IT team agrees the access, and every action the agent takes is logged against that login.

What happens when an AI agent gets something wrong?

Checks against your ERP data catch most errors before a person sees the result, and anything below the confidence bar goes to a person with the reason shown. Nothing posts without approval, and because every decision is logged, corrections are reviewed and used to tune the rules.

Can one AI agent work across several branches or entities?

Yes, when the branches share systems or the differences are mapped. Branch price books, tax codes and approval limits become rules the agent checks. Most organisations pilot in chosen branches or customers first and widen the scope once agreement holds.
