Order entry automation
Customers email us PDF purchase orders and staff retype them into the ERP. Can AI do this reliably?
Last updated
AI can enter emailed PDF purchase orders into an ERP reliably when every order is checked before it posts. AI reads the PDF, matches the customer, items and prices against ERP data, and queues each order for approval. Orders that fail a check, such as an unknown item or a price mismatch, are flagged with the reason for a person to fix.
How AI purchase order entry works
Capture
Orders go to one shared inbox. The email, sender and every attachment are stored together so nothing is lost.
Extract
AI reads the purchase order number, customer, delivery address, lines, quantities, units, prices and dates from any layout.
Check
Each order is tested against ERP data: customer, item cross-references, contract prices, duplicates and totals.
Route
Clean orders go to an approval queue. Exceptions go to customer service with the PDF beside the extracted fields and the failed check highlighted.
Approve and write back
A person approves, and the integration creates the sales order through the ERP API with the customer's purchase order number as the reference.
Learn from corrections
Every correction updates the customer item cross-reference, so the same mismatch is not raised twice.
Accuracy checks before an order posts
| Check | What it catches | If it fails |
|---|---|---|
| Customer match | Unknown sender, forwarded email, new buyer | Person assigns the customer |
| Duplicate order | Same purchase order sent twice or resent amended | Held for a person to decide |
| Item match | Customer part numbers, superseded items | AI suggests a match, person confirms |
| Price check | Order price differs from the contract or list price | Person approves or queries the customer |
| Quantity and unit | Cartons ordered as each, wrong pack size | Flagged for review |
| Totals | Line totals that do not add up to the order total | Flagged for review |
| Delivery | New address or a date stock cannot meet | Flagged for review |
Writing orders back to your ERP
Pronto Xi
Pronto Connect provides RESTful APIs and supports custom APIs, and Pronto Xi Sync is Pronto's integration platform. Confirm with your Pronto partner which sales order APIs your version has enabled.
Business Central
Standard APIs create sales orders. Microsoft's Sales Order Agent also reads emailed requests and PDF attachments, always creates a sales quote first, and has a user review outgoing messages. It uses Copilot Credits, so check current terms.
NetSuite
SuiteTalk REST web services create sales order records. Test that credit holds, approvals and scripts behave the same as for orders keyed by staff.
MYOB Acumatica
The contract-based REST API has documented sales order examples. Test against your own instance, because endpoint versions differ.
Freight invoice matching against proof of delivery
The same pattern works for carrier invoices. AI reads each invoice line and matches it to the consignment note and proof of delivery: consignment number, delivery date, signature, declared weight and dimensions. The check recalculates cubic weight using the conversion factor in that carrier's rate card, tests the fuel levy against the carrier's published rate for the period, and flags charges for consignments with no proof of delivery or duplicate lines.
Matched lines go to accounts payable for approval. Mismatches go to the logistics or finance owner with the evidence attached, so a dispute with the carrier is prepared from evidence already gathered.
Australian specifics
Orders need correct GST treatment per line, and customer ABNs help confirm the customer when an email comes from an unfamiliar address. New Zealand customers need NZ GST codes and often a separate entity in the ERP. Peppol e-invoicing is growing for invoices, but most customer purchase orders still arrive as PDFs or email text, so both are needed for some time. Purchase orders often name delivery contacts, so processing in your cloud in Australia keeps that personal information onshore under the Privacy Act.
Limits and when not to use AI
Customers who can send EDI
Large customers that can send EDI or use a portal should. AI is for the long tail of PDF and email orders.
Poor scans and handwriting
Faxed or handwritten orders produce low-confidence reads. Route them straight to a person.
Configured products
Orders that need product expertise to interpret, such as made-to-measure items, stay with specialists.
Straight-through too early
Run AI beside staff and measure agreement before any order posts without a person approving it.
Who should own it
Customer service or operations manager
Owns the exception queue and order turnaround.
ERP or application manager
Owns write-back, the API user and its permissions.
Finance or credit manager
Owns price tolerances and credit hold rules.
Logistics manager
Owns freight matching rules and carrier disputes.

Questions
How accurate is AI at reading PDF purchase orders?
Accuracy depends on scan quality, layout variety and how clean your item and customer data is, so any single vendor figure means little. Measure it on your own orders by running AI beside staff for several weeks and comparing field by field. The checks against ERP data matter more than raw reading accuracy.
When an AI reads a purchase order wrong, who catches it?
Automated checks against ERP data catch most misreads before the order reaches a person. An order that fails a customer, item, price, duplicate or total check is held and routed to customer service with the reason shown. Clean orders still pass through a person approving them until measured agreement justifies relaxing that step for specific customers.
Can the Business Central Sales Order Agent replace a custom purchase order solution?
The Business Central Sales Order Agent suits organisations with clean item data and moderate volumes, because it reads emails and PDF attachments and drafts quotes for review. Organisations needing contract price checks, complex cross-references or other ERPs may need custom extraction. Test it on real orders, and check current Copilot Credit terms.
Does Peppol e-invoicing remove the need to automate PDF purchase orders?
No. Peppol e-invoicing in Australia is mainly used for invoices between businesses that have connected access points. Many customer purchase orders still arrive as PDFs or email text. Organisations usually connect Peppol for the trading partners that support it and use AI for the remaining PDF orders and supplier invoices.
How does freight invoice matching handle fuel levies and cubic weight?
Freight invoice matching recalculates each charge from the consignment data. Cubic weight is recomputed from the dimensions using the conversion factor in the carrier's contract, and the fuel levy is tested against the carrier's published rate for that period. Any difference above an agreed tolerance goes to a person with the evidence attached.
Should purchase order AI write straight into the ERP or into a review screen first?
Purchase order AI should write into a review screen first. A person approves each order while agreement is measured, then specific customers or order types can move to straight-through posting once the numbers support it. Exceptions always stay with a person, and every posted order keeps a link to the original PDF.
