simPRO and Pronto Xi integration

Our field team uses simPRO and finance uses Pronto Xi. We export CSVs and rekey them. What is the realistic way to integrate the two?

Last updated

We found no simPRO to Pronto Xi connector listed on the simPRO Marketplace or in Pronto's published material in November 2026, so the realistic route is a custom integration between the simPRO API and Pronto Connect, built and run in an integration layer you control. First decide which system owns customers, sites, items and jobs, then put the questions below to both vendors before anyone scopes the build.

Who this is for

This page is for application managers and finance systems leads at multi-branch field service organisations running simPRO in the field and Pronto Xi in finance. Solve8 builds integrations like this in fixed-fee phases: discover the rekeyed documents and volumes at one branch, prove one document end to end beside the CSV process, build the rest on your infrastructure in Australia, then support it or hand it over. We work in Sydney, Brisbane, Melbourne, Perth and across Australia and New Zealand.

Realistic integration options

Custom API integrationAn integration layer reads from the simPRO REST API and writes to Pronto Xi through Pronto Connect, which Pronto describes as offering pre-built RESTful APIs and an environment for building custom APIsEach Pronto API you need may have to be enabled or built by Pronto or your Pronto partner
Pronto Xi Sync through Pronto WovenPronto Xi Sync is Pronto's integration product, with pre-built integrations for platforms such as Shopify, eBay and Amazon. How to approach the integration

  1. List what is rekeyed

Log every document copied from simPRO to Pronto for two weeks: customer invoices, credit notes, purchase orders, supplier bills, timesheets and job costs. Start with the highest volume or highest error document.

  2. Agree the system of record

Decide which system owns customers, sites, items, price lists and jobs, and which codes each system uses. Many failed syncs come from codes that do not match.

  3. Ask both vendors the questions below

Get written answers before scoping. They decide whether the build is a few API calls or new Pronto development.

  4. Build one document end to end

Integrate the first document fully, with logging, retries and an exception report, and run it beside the CSV process until totals match.

  5. Add the rest in order

Move to the next document only when the first runs cleanly for a full month-end.

What to ask simPRO

  • API access

Ask whether your simPRO licence includes API access and whether a test build is available for development.

  • Authentication

Ask which authentication method simPRO recommends for a server-to-server integration and how credentials are issued for your build.

  • Webhooks

Ask whether webhooks are available for the events you need, such as invoice created, job completed or purchase order approved, or whether the integration has to poll.

  • Limits

Ask about rate limits, paging and how multi-company setups are exposed through the API.

  • Partners

Ask whether any simPRO partner has built a Pronto Xi integration you could reuse or reference.

What to ask Pronto

  • Available APIs

Ask which pre-built Pronto Connect APIs your Pronto Xi version includes for debtors, sales invoices, job costing, purchase orders, creditors and stock.

  • Custom APIs

Ask who builds any missing API, how it is maintained through upgrades and whether it needs a change to your licence.

  • Security

Pronto describes Pronto Connect security as user-based, restricting data to the connecting user. Ask how to set up a dedicated integration user with only the access it needs.

  • Events

Pronto states Pronto Xi can trigger external webhooks from tasks and alerts. Ask whether that suits sending payment or account status back to simPRO.

  • Hosting

Ask how an external integration reaches your Pronto Xi environment, whether it runs on your servers or is hosted for you.

Australian specifics

Map every simPRO tax code, labour rate and catalogue item to a GST code in Pronto Xi, including GST-free items, or BAS figures will drift. Entities in New Zealand need NZ GST codes, so ask your Pronto partner whether they should run as a separate company. Running the integration layer in your cloud in Australia keeps customer, site and pricing data onshore, which larger customers often ask about in privacy and security reviews.

Limits and when not to integrate

  • Low volume

If only a handful of documents move each week, a validated file import may be enough.

  • System change ahead

If either system is being replaced within a year, build the layer so that end can be swapped, or wait.

  • Messy master data

An integration copies bad codes faster. Clean customers, sites and items first.

  • AI is not the fix here

simPRO and Pronto data is already structured, so rules move it. AI only helps with documents a person reads, such as emailed purchase orders.

Who should own it

  • Application manager

Owns the integration, monitoring and both vendor relationships.

  • Finance systems lead

Owns tax code mapping, posting rules and the daily exception report.

  • Operations manager

Owns job, site and item standards in simPRO.

Questions

Can Zapier connect simPRO to Pronto Xi?

simPRO lists a Zapier integration on its Marketplace, so the simPRO side can be reached that way. Whether Zapier can write to Pronto Xi depends on whether a Pronto connector exists for it or a Pronto Connect API can be called directly. Ask Pronto, and test error handling, because finance postings need retries and an audit trail.

Which system should own customer and site records, simPRO or Pronto Xi?

Usually Pronto Xi owns the customer account, credit terms and tax settings because finance controls them, while simPRO owns sites, assets and job details because the field team maintains them. Whatever you choose, write it down, use one code for each customer in both systems and block editing of owned fields in the other system.

How long should we keep the CSV process running after the integration goes live?

Keep it as a check, not as the main process, for at least one full month-end. Compare invoice counts, totals and GST by period between the integration and the old export. Retire the CSV process once the totals match and the exception report is being cleared daily.

Can AI read our simPRO CSV exports instead of building an API integration?

It can, but it is the wrong tool. CSV exports are already structured, so rules can validate and load them more cheaply and predictably than AI. Use AI for documents that arrive as PDFs or emails, such as customer purchase orders or supplier invoices, and use plain integration for simPRO data.

How do job costs from simPRO reach the right Pronto Xi job or cost centre?

Agree a job and cost centre mapping first: each simPRO job, or each cost centre within it, needs a matching Pronto job or general ledger code. Then decide whether costs post as they occur or in a batch after approval. Ask Pronto which job costing APIs your version exposes before designing this part.
