Field service quoting
Our technicians code fire protection defects differently at every branch. Can AI make quotes consistent?
Last updated
AI can make fire protection defect quotes consistent when the inconsistency is in how defects are described and categorised. AI reads each technician's defect note, maps it to one shared defect list and its AS 1851 category, and suggests standard quote lines. A quoter still approves every quote. Start by agreeing one defect list across all branches.
How consistent defect quoting works
Agree one defect list
Operations and quoting leads agree a single defect list for every branch. Each item carries an AS 1851 category and a standard quote line from the price book.
Map history
AI reads a recent sample of past defect notes from every branch and proposes the matching item, so gaps and duplicate items in the list show early.
Run in shadow mode
AI categorises live defects beside the quoting team without sending anything. Its suggestions are compared with what quoters actually did, branch by branch.
Quoter approves
Once agreement is high enough for your risk appetite, AI drafts the quote in Uptick or simPRO and a quoter approves or corrects it before it goes out.
Feed corrections back
Every correction updates the defect list or the mapping rules, so branches converge instead of drifting apart again.
What changes and what stays human
| Step | AI does | Person does |
|---|---|---|
| Defect note | Reads the text and photos, flags missing detail | Technician writes it on site |
| Category | Suggests critical defect, non-critical defect or non-conformance | Quoter confirms, and always decides critical defects |
| Quote lines | Matches the defect list item to price book lines | Quoter adjusts quantities, access and contract rates |
| Customer send | Nothing | Quoter or account manager sends the quote |
| Defect list | Proposes new items from notes that match nothing | Operations lead approves any change |
Australian specifics
AS 1851 Routine service of fire protection systems and equipment is the standard most Australian fire protection contracts reference. The current edition is AS 1851-2012, with Amendment 1 from 2016. It sorts findings into three categories. In broad terms, a critical defect makes a system inoperable or creates an immediate risk to life safety, a non-critical defect leaves the system working but degraded, and a non-conformance is missing or incorrect information that does not directly affect operation. Check the exact wording in your licensed copy of the standard.
The change some vendors call AS1851:2026 is, on published sources at 7 November 2026, a NSW regulatory change and not a new edition. From 13 February 2026, owners of new and existing class 1b and class 2 to 9 buildings in NSW must have essential fire safety measures inspected and tested to AS 1851-2012, under the Environmental Planning and Assessment (Development Certification and Fire Safety) Regulation 2021. Several other states already called up AS 1851 through their own rules. Consistent categories matter more now, because the category drives what an owner must fix and how fast.
Uptick and simPRO are two of the systems Australian fire protection providers commonly use, and both offer defect-to-quote workflows. AI sits beside them through their APIs instead of replacing them. Providers with New Zealand sites need a separate mapping, because routine inspection there runs under the building warrant of fitness regime and New Zealand standards.
Limits and when not to use AI
Unclear notes
A note that says 'faulty, see photo' with no photo cannot be categorised reliably. AI should send it back to the technician, not guess.
Critical defects
Keep a person deciding every critical defect, because that call carries safety and contractual weight.
No agreed defect list
If branches will not agree one list, AI only automates the inconsistency. Fix the list first.
Low volume
A branch raising a handful of quotes a week may get more from a cleaned-up price book and templates in Uptick or simPRO than from AI.
Pricing decisions
AI suggests lines from your price book. Margins and contract rates stay with your estimating team.
Who should own it
Operations or service delivery manager
Owns the defect list and how branches use it.
Quoting or estimating lead
Owns the mapping from defect items to quote lines and reviews shadow mode results.
Application manager
Owns the Uptick or simPRO connection, API access and user permissions.
Compliance manager
Confirms the category rules match AS 1851 and each state's requirements.

Questions
Does AI defect quoting replace fire protection quoters?
No. AI defect quoting suggests a category and quote lines from your own defect list and price book, and a fire protection quoter approves every quote before it reaches a customer. Quoters spend less time retyping and looking up codes, and more time on site conditions, access and the defects that need judgement.
Is there a new AS 1851:2026 edition of the standard?
Published sources at November 2026 show no new edition numbered AS 1851:2026. The current edition is AS 1851-2012 with Amendment 1. The 2026 change is that NSW made AS 1851-2012 mandatory from 13 February 2026 for class 1b and class 2 to 9 buildings. Check the Standards Australia store for any later edition.
How accurate should AI defect categorisation be before quoters rely on it?
AI defect categorisation should match experienced quoters closely on routine defects during shadow mode before anyone relies on it, and the threshold is a business decision set per category. Critical defects should always stay with a person. Measure agreement branch by branch, so weak spots in the defect list show before go-live.
Can AI write draft defect quotes back into Uptick or simPRO?
Yes, through the Uptick or simPRO API. AI defect quoting reads each defect record and writes draft quote lines back into the same job, marked as drafts for a quoter to review and send. Technicians and quoters keep using the system they know. API access and limits depend on your plan, so check current vendor terms before scoping the write-back.
How should a fire protection company clean up years of inconsistent defect history?
Agree the target defect list first, then let AI map historical defect notes to it and flag notes that match nothing. Quoting leads review the unmatched and low-confidence notes in batches. The cleaned history becomes the baseline for branch comparison and for training the mapping, without rewriting the original service records.
Does defect and customer data leave Australia when AI is used?
Not if the AI runs in your cloud in Australia. Built inside your own environment, defect notes, photos, customer sites and pricing stay onshore and are not used to train public models. Check the data terms of any AI feature built into your field service software separately.
